Find the gaps between inquiry and delivery

Before you add another campaign or another tool, follow one customer through your business. Start with the moment they hear about you. Keep going through the inquiry, the conversation, the sale, the delivery, and the follow-up.

At each step, ask three questions: what does the customer need, who owns the next action, and how do we know it happened? A gap in any answer gives you something concrete to investigate.

A lead may arrive through a useful campaign and sit unanswered in an inbox. A sale may close with a promise the delivery team never received. A good customer may leave because nobody owns the renewal conversation. These are connected business problems.

Choose one handoff. Record a baseline over a period that reflects normal demand. Then make one change: assign an owner, remove duplicate entry, clarify the promise, or set a response rule. Compare the result while checking whether customer mix or volume changed.

The point is to make an improvement you can observe. Once that part works, move to the next constraint. A business gets easier to run when the work between the departments gets the same attention as the departments themselves.

AN EXAMPLE FROM THE WORK

Trace a gym inquiry to its next action.

The DFW Gym study describes built website and booking foundations alongside customer-record fields for attribution, consent, deduplication and pipeline status. Some activations were still pending in the reviewed record. That distinction matters: a booking button alone does not establish that a visitor reached a coach or attended a session.

  1. Follow a permitted test inquiry from the page into the customer record.
  2. Confirm that an owner can identify the next action without guessing or retyping.
  3. Record whether a booking is confirmed, needs review or failed, then test the same inquiry twice to check duplicate handling.

This is a proposed handoff check, not a claim of improved attendance. Establish the baseline before attributing a business result to the change.
